How to Deploy the Barracuda Essentials for Email Security Outlook Add-In

The Barracuda Outlook Add-In supports Microsoft Exchange Server 2013 and higher and Outlook version 2016, and Outlook Web Access (OWA) running on Windows and Mac OS.

Note that the Add-In is not currently available on mobile devices.

Use the steps in this article to deploy the Barracuda Essentials for Email Security Outlook Add-In to all users in your Exchange Server. Alternatively, if you do not want to deploy the Add-In to all users, users can manually add the app to their Outlook installation as described in the installation. The Barracuda Outlook Add-In allows users to perform various functions, including:

  • Encrypt and send emails;
  • Mark messages as spam and send to Barracuda Networks.

Download the Outlook Add-In from the Microsoft Office Store.

Install Outlook Add-In for all Users

  1. Log in to your Exchange Admin Center as the administrator:

  2. In the left pane, click organization, and click apps.
  3. Click +, and from the drop-down menu, select Add from Office Store:

  4. Search for and select the Outlook Add-In icon, and click Add to add it to your apps:

  5. Double-click Barracuda Essentials to open the App Settings dialog box, and select the default user setting:

    1. Optional, enabled by default – When selected, the Outlook Add-In is automatically enabled for all users; note that users can disable from within Outlook
    2. Optional, disabled by default – When selected, the Outlook Add-In is disabled for all users; note that you will need to send users instructions on how to enable the Add-In

    3. Mandatory, always enabled. Users can't disable this app – When selected, the Outlook Add-In is automatically enabled and the user cannot disable the Add-In
  6. Click save.

Notify Users

Once the app is added to your Exchange Server, notify users based on your selection in the App Settings dialog box:

Optional, enabled by default

No further action is needed on the part of users; users can proceed to the Barracuda Essentials for Email Security Outlook Add-In User Guide.

Windows and Mac OS X users can disable the app using the following steps:

  1. Log in to Outlook, click the File tab, and click Manage Add Ins:

  2. If prompted, enter your log in credentials.
  3. In the Manage add-ins table, click the app to toggle the Add-In off.

Windows Users can remove the app using the following steps:

  1. Log in to Outlook, click the File tab, and click Manage Add Ins.
  2. Click on the app, and click the delete icon.

Mac OS X users can remove the app using the following steps:

  1. Log in to Outlook, and click the Store (StoreButton.png) icon in the ribbon.
  2. Click on the app, and click the delete icon.

Optional, disabled by default

Windows users can enable the app using the following steps:

  1. Log in to Outlook, click the File tab, and click Manage Add Ins:

  2. If prompted, enter your log in credentials.
  3. In the Manage add-ins table, click the app to toggle the Add-In on.

Mac OS X users can enable the app using the following steps:

  1. Log in to Outlook, and click the Store (StoreButton.png) icon in the ribbon.
  2. If prompted, enter your log in credentials.
  3. In the apps for Outlook page, click the link in the right pane to enable the Add-In.

Windows users can remove the app using the following steps:

  1. Log in to Outlook, click the File tab, and click Manage Add Ins.
  2. Click on the app, and click the delete icon.

Mac OS X users can remove the app using the following steps:

  1. Log in to Outlook, and click the Store (StoreButton.png) icon in the ribbon.
  2. Click on the app, and click the delete icon.

Mandatory, always enabled. Users can't disable this app

Remove Add-In

If you need to remove the Add-In from your Exchange Server and from Outlook/OWA for all users:

  1. Log in to your Exchange Admin Center as the administrator:

  2. In the left pane, click organization, and click apps.
  3. Click on the Add-In in the table, and click the Delete (DeleteIcon.png) icon:

  4. The Add-In is removed from your Exchange Server and is no longer available to your users.

Troubleshooting

IssueSolution
User has added or removed app but change does not display in OutlookIt may take some time after adding or removing the add-in for the Outlook client or OWA for the Outlook ribbon to update. If users cannot see the change, direct them to either restart the client or refresh the web page.
Message Action is disabledIf a user turns off the reading pane while a message is selected, the Message Action option is disabled. In this instance, Message Actions is disabled on the user's Home ribbon in Outlook but enabled in the detailed view. Direct users to turn on the reading pane and reselect the message.
