Scope: How to configure and perform an Archive Search in ArchiveOne Enterprise (Compliance)

OVERVIEW
This article will explain how to configure and perform a search of the archive. Please note the following:

*You will need to have some data already be archived.
*You must have proper user permissions to run ArchiveOne Enterprise (Compliance).
*A client machine running Outlook is required to view the retrieved messages from the archive.

HOW TO STEPS
Configure an Archive Search

1. Open the ArchiveOne Enterprise (Compliance) Admin Console.
2. Right-click on 'Archive Searches' and select 'New'.

3. Optionally, you can enter a name for this search in the 'Search name' text box.

Compliance Archive Search

1. Click on the 'Content criteria' button to display your selection of criteria and click OK once complete.

2. Top two text boxes: Search for certain words in either the message body or subject, optionally using AND/OR/NEAR modifiers.
3. Property pull down menu: Select the criteria to search for.
4. Condition pull down menu: Select the comparison to apply.
5. Value text box: Type what you are searching for.  This could be a name, username, certain word, email address, etc.
6. All or any criteria: Select whether you want to find items that match all of your set criteria, or items that match any of your set criteria.

Content Criteria

1. Optionally click the 'Status criteria' button to display your selection of types of status and click OK once complete.

2. Search expired items: Choose whether you want to search items that have expired.
3. Search deleted items: Choose whether you want to search deleted items.
4. Search on hold items: Choose whether you want to search for items that are on hold.
5. Search Recycle Bin: Choose whether you want to search into the ArchiveOne Enterprise (Compliance) Recycle Bin.
6. Search items Archived by ArchiveOne Enterprise (Policy): Choose whether or not you want to search items that were archived by ArchiveOne Enterprise (Policy)

7. Must have ArchiveOne Enterprise (Policy) repositories visible in the ArchiveOne Enterprise (Compliance) admin console.

Status Criteria

1. Optionally click the 'Repository criteria' button to display the selection of repositories and click OK once complete.

2. Examine all repositories: Select this if you would like to run your search through all of your existing repositories.
3. Select repositories from list: Select this if you would like to run your search through specific repositories. You will need to check which repositories you would like to search through.

1. Click on the 'Done' button to save your search.

Perform an Archive Search

1. Open the ArchiveOne Enterprise (Compliance) Admin Console.
2. Click on 'Archive Searches'.
3. Right-click on the search that you want to run and select 'Run'.
4. Optionally enter a comment about the search you are running.

5. Comments are enabled by default as 'Mandatory', however this can be configured to be optional.When the search is complete you will see a 'Search Results' screen.

Search Results

1. View Summary – Choose this option to view a summary of the results.
2. Retrieve all messages – Choose this option to retrieve the results without viewing first.
3. Delete all messages – Choose this option to delete the results without viewing first. This is not recommended.Click 'View Summary'  - A processing window appears and then a dialog window stating how many messages match your search criteria. Click the 'OK' button to view the results.

To perform an action on the search results

After performing the steps above, the results are then displayed in the right-hand pane.

1. Select the message(s) you would like to retrieve.
2. Right-click your selection and select 'Retrieve Message'.
3. Select where you would like to retrieve the message(s).

Search Retrieval

1. Put results into a public folder with a name chosen by ArchiveOne Enterprise (Compliance): Choose this to copy your item(s) into a new folder within the Retrieval Folder.
2. Put results into a named public folder: Choose this to copy your item(s) into a specific folder within the Retrieval Folder.
3. Put results into a PST:  Choose this to copy your item(s) into a specific PST (this PST will be created if it isn’t present).
4. Put results into a named mailbox: Choose this to copy your item(s) into a specific folder in a specific mailbox.
5. Enable Bates Stamping: Choose this option to apply serial number to the subject line of messages when they are printed.Click on the 'OK' button to start the retrieval. You will receive a confirmation message once complete.

NOTE: If you are running this search from the ArchiveOne Admin console installed on the ArchiveOne server, you will be prompted with a message that states in order to view the messages that you have retrieved you will have to open Outlook.
