How to Export OneNote Notebooks

On March 31, 2025, Microsoft OneNote retired app-only authentication for Microsoft Graph APIs (Microsoft Message ID MC1011142). The change was made to enhance data security. Cloud-to-Cloud Backup uses app-only authentication and the specific change from Microsoft removed the ability to create OneNote Notebooks using app-only authentication. As a result of this change, Cloud-to-Cloud Backup will no longer be able to restore OneNote Notebooks to Microsoft 365. However, OneNote Notebooks are still able to be backed up and users can now export OneNote Notebooks from Cloud-to-Cloud Backup as an alternative recovery option. If a restoration attempt is made for a OneNote Notebook, it will fail, and a warning message will be generated in the job report.

A OneNote Notebook in Microsoft 365 typically consists of one or more section files, along with supporting files such as a Table of Contents. These files are collectively represented as a single Notebook, providing users with a unified view that includes Sections, Pages, Section Groups, and the Table of Contents, while the individual files remain hidden from view.

To export the individual section files:

  1. Navigate to the Protect page from the top navigation menu, and select a data source.

  2. To find a historical revision from a previous date, click the date in the BACKUPS FROM calendar. Use the calendar to select the desired day to view data available for restore from that date.

  3. Browse or search for the name of the Notebook file you want to export.

  4. Select the Notebook to export, and click the EXPORT button. A notification displays at the bottom of the page. 

  5. To download the item, go to the Reports page and click on the exported item. A ZIP file containing several individual .one section files will be available for download.

Notes:

  • Exports will be available to DOWNLOAD for 3 days. The Dashboard will display the last 7 export jobs. To view full export history, go to the Reports page.

  • The section files can be opened individually on a compatible Windows desktop PC.

  • The section files are not compatible with Microsoft 365 online.

  • The Table of Contents will not be exported.
