How do I use the Exchange Integration feature of the Barracuda Message Archiver?

Scope:

All Barracuda Message Archivers in use with an Exchange server, firmware versions 2.3.0.XXX and above.


Answer:

When setting up a Barracuda Message Archiver to work with a Microsoft Exchange server, it is possible to import, Stub and synchronize folder data from the Exchange server to be archived on the Barracuda automatically. To perform these actions navigate to the Mail Sources > Exchange Integration page of the Barracuda Message Archiver's web interface.


To perform these tasks valid server information must first be specified under the Server Configuration section.



Server configuration:

  • Exchange Server - The hostname of the Microsoft Exchange server from which to use. 
    • The hostname or fully qualified domain name must be resolvable by your configured DNS servers to the correct IP address.
  • Username - An account with permissions to access the desired user(s). This account must meet the following requirements:
    • Have a mailbox
    • Visible on the Global address list or GAL
    • Read-As, Write-As, Administer-Store access to the target mailboxes.
    • Account must not be locked.

 Please note that an Exchange Administrator account does not necessarily have the requirements set forth. 

  • Password - The password for the specified authorized account.  
    • Note: Characters in the password can cause the task to timeout after 10 minutes due to the Login process, for example !@#$%^&*()

  • Domain - The domain for the authorized account specified above. This must be the Exchange domain (which may not be the same as the DNS domain). For example, the Exchange domain for users at abc.com may actually be abc.local.

If the Barracuda Message Archiver is having trouble trying to resolve the specified domain, you could try re-specifying the DNS server located on the Basic > IP Configuration page to one of your Windows domain controllers




Actions:


  • Exchange Import - brings all items matching the item source filter from the specified server onto the Barracuda Message Archiver for processing.
    • Item Date – Only items matching this date restriction will be imported.
    • Item Source - The target list from which to import
      • Public Folders, Distributions list, Users.
    • Folders 
      • All,Inbox,Sent Items Deleted Items
    • Advanced Options
      • Home Server – Restrict the action to only items residing on the configured server.
      • Maximum Size (KB) - Restrict the action to items that are smaller than this size, in kilobytes.
  • Synchronize Non-Email Items – A one-time task to import non email items
    • Item Type  - Type of data to import
      • All, Appointments, Contacts, Tasks, Notes
    • Item Source - The target list from which to import
      • Public Folders, Distributions list, Users.
    • Advanced Options
      • Home Server – Restrict the action to only items residing on the configured server.
      • Maximum Size (KB) - Restrict the action to items that are smaller than this size, in kilobytes.
  • Email Stubbing - Bring messages that also have attachments, and replace those messages on your Exchange server with stubs
    • Schedule – Designating when to start the stubbing task
      • Now, Nightly
    • Item Age (Days) –Only Items this age or older will be stubbed
    • Minimum Size (KB) – Items smaller than this value are not stubbed
    • Uri Base for Stub Links: - Link that will be added in place of the attachment
    • Item Source - The target list from which to stub
      • Public Folders, Distributions list, Users.
    • Folders 
      • All,Inbox,Sent-Items,Deleted Items
    • Advanced Options
      • Home Server – Restrict the action to only items residing on the configured server.
      • Maximum Size (KB) - Restrict the action to items that are smaller than this size, in kilobytes.
  • Synchronize Folders – Synchronize folder structure from the exchange mailboxes to the archiver for searching purposes
    • Item Source - The target list from which to synchronize
      • Public Folders, Distributions list, Users.
    • Advanced Options
      • Home Server – Restrict the action to only items residing on the configured server.
  • Public Folders - Select this option to act on all of the public folders available to the administrative user on the Exchange server. Note that this will not make those messages publicly available on the Barracuda Message Archiver. Only the sender and recipients will be able to view the messages once they are imported.
  • Distribution Lists - Select this option to affect all users that are members of the designated distribution list.
  • Users - You may select a subset of users who you wish to act on, or the entire corpus of available users.
    • All Users - Import or stub all users' mail onto the Barracuda Message Archiver.
    • Last Name - Act on only users matching the last name query. 
    • Email Address - Acts on mail from email addresses matching the provided query.
  • Folders - You may specify which folders from the matching users to stub or import onto the Barracuda Message Archiver.
    • All - Imports all folders.
    • Inbox - Imports items from the Inbox folder
    • Sent Items - Imports items from the Sent Items folder
    • Deleted Items - Imports items from the Deleted Items folder.
  • Restrictions - You may place restrictions on the items acted on by an import or stubbing job.


Actions 

  • Begin Exchange Action - Starts the Exchange action process. 
  • Simulate Exchange Action - Selecting this will start a process that will act exactly as beginning the action, but will not actually do anything. Instead, it will tell you what it would have done if it was actually run. This process is sometimes referred to as a "dry-run" or "test run". 
  • Verify Sources - Display a list of the individual mailboxes that will be used based on the provided parameters.


Additional Notes:

The Exchange Import feature will not work with disabled user accounts (you should temporarily enable them in Exchange to import their email). If users are hidden from the "Global Address List (GAL)" in Exchange, their emails will not be able to be imported either (you will need to temporarily unhide them to import their email).
