Barracuda Essentials for Email Security Outlook Add-In User Guide

The Barracuda Outlook Add-In supports Outlook version 2016, and Outlook Web Access (OWA) running on Windows and Mac OS. Note that the UI may vary depending on the device you are using to access the Add-In.

Note that the Add-In is not currently available on mobile devices.

For setup details, refer to How to Manually Add the Barracuda Essentials for Email Security Outlook Add-In.

Use the Outlook Add-In to access your messages and send encrypted messages via Outlook 2016 or OWA.

Once the Add-In is installed, you can take the following actions with messages:

  • Manage Sender Policies
  • Send Encrypted Messages

  • Set Spam Preferences

  • Submit Email as Spam

Manage Sender Policies

  1. Log in to Outlook or OWA, and click the Barracuda Essentials icon.
  2. Click the Manage your sender policy (IconManagePolicy.png) icon; the Barracuda Email Security Service web interface displays in a new browser window.
  3. If you are not already logged in, enter your login credentials, and click Log In.
  4. The Settings > Sender Policy page displays. Users allowed or blocked via the Outlook Add-In display with the assigned policy. You can add additional senders and specify whether to block or allow messages.

Send Encrypted Messages

Encrypt outbound messages for secure message transmission. To encrypt an outbound message,

  1. Log in to Outlook or OWA, and select to create, forward, or reply to a message.
  2. Click the Barracuda Essentials logo;
    1. OWA – Click Apps in the message pane, and click the Barracuda Essentials icon.
    2. Outlook – Click the Actions panel displays in the right pane.
  3. By default, Encryption Off displays. Click to toggle Encryption On. The panel closes and the encryption attachment is added to the message:

    Important!
    Do not delete the attachment; if deleted, the message will not be encrypted.

     

    1. When the message is encrypted, the Encryption (IconEncryptionOn.png) icon displays at the bottom of the message.

    2. When the message is not encrypted, the Encryption Off (IconEncryptionOff.png) icon displays at the bottom of the message.

  4. Complete your message, and click Send to send the encrypted message.

Set Spam Preferences

  1. Log in to OWA, and click the Barracuda Essentials logo in the Microsoft ribbon.
  2. Click the Preferences (IconPreferences.png) icon.
  3. From the Submit to Barracuda as spam drop-down menu, select the folder where you want to store messages marked as spam:

  4. When you mark a message as spam, it is moved to the selected folder, and the Success (IconSuccess.png) icon displays.

Submit as Spam

  1. Log in to OWA, and click the Barracuda Essentials logo in the Microsoft ribbon.
  2. Click the Submit as spam (IconSpam.png) icon. The currently selected message is submitted to Barracuda as spam and moved to the folder specified in your Spam Preferences.
